The Fetra Community Privacy Policy
How Fetra Community collects, uses, and protects your data, including the confidentiality of the Consultation Centre and your rights over your information.
Privacy Policy Summary
We do not sell, rent, or trade your data with anyone for marketing purposes.
What is said in the Consultation Centre is seen only by your own practitioner, and sessions are never recorded.
Electronic payments are processed via our authorized payment provider; we never see or store your full bank card details.
You may access, correct, and delete your data, and withdraw your consent whenever you wish.
And what we no longer need, we delete or strip of anything that identifies you.
Consultations Confidentiality
Consultation sessions are strictly confidential to your direct counselor, and are never recorded.
Payment Security
We never see or store your payment card numbers; all transactions process through encrypted gateways.
No Data Selling
We do not sell, rent, or trade your data with any party for marketing purposes whatsoever.
Full Control & Rights
You have full rights to access, correct, delete your data, and revoke consent at any time.
The soul is a trust, and what you entrust to us of your data is part of that trust and inseparable from it. At Fetra Community we handle matters of the greatest privacy: questions of faith and doubt, the burdens of households, the crises of married life, and what parents bring to our practitioners concerning their children. We have therefore not written this document as a formality that websites require, but as a commitment for which we are answerable, set out in language every member can understand without an intermediary.
Scope of This Policy
This policy applies to the whole of Fetra Community's digital ecosystem: the main site, Fetra Academy, the Fetra app, the Fetra AI Assistant, and the Consultation and Support Centre, together with their registration forms and official channels of contact. It applies equally to data we collect at in-person events and at the annual camp.

Our Principles
Five principles govern everything below; what follows is their detail, not an exception to them:
A defined purpose: we collect no data except for a known, current purpose, and use it for nothing else. The minimum: we ask for the least the service requires; anything beyond that is optional and declared as such. Trust: what is disclosed in a closed space stays in that closed space and does not travel between departments without need. Transparency: we collect nothing by hidden means, and you may know at any time what we hold about you. No trade: we do not sell, rent, or trade your data for marketing purposes with any party, without exception.
What We Collect
Membership and registration data: name, email address, phone number, country, age group, gender, and whatever optional details you choose to add to your profile.
On the gender field in particular, we say plainly why we ask for it: our services are built on separate spaces for women and for men in the psychological sections and the Circles of Safety, and your request cannot be directed to the right practitioner or to the circle that is yours without it. It is used for nothing else: not for advertising, not for behavioural analysis, and not in any automated decision affecting you. It is neither published nor shared, and is visible to no one outside the coordination team and the practitioner assigned to your request. You may ask to correct it, or to delete your account entirely, under section 9.
Programme and admission data: what you submit in application forms, what is recorded in the brief assessment interviews for extended programmes, your attendance and progress in study tracks, and assessment results and certificates of completion at Fetra Academy.
Consultation request data: the section you chose, the type of session, your preferred times and time zone, the language of the session, and anything you optionally write about what you would like to discuss. Each request is given a reference number by which you can follow its status.
Session data: confirmed appointment times and the practitioner's professional notes relating to the case. Sessions are never recorded, in audio or video. This is the most sensitive material we handle, and section 5 is devoted to it in full.
Contribution and volunteering data: what you submit through the "Contribute" form: contact details, field of specialisation, years of experience, and your CV if you attach one. The practitioner application form adds: the section applied for, professional title, professional qualification and the document uploaded for it, years of practice, working languages, availability, a note on your approach, and the declarations you make.
Print-copy request data: the title requested and the number of copies, the recipient's name, postal address, country, city, and phone, and the status of the request and its correspondence. We neither receive nor store bank card details; section 6 sets this out.
AI Assistant and app data: the text of your conversations with the Fetra AI Assistant, any personal plan it builds for you, your progress against it, and your app and notification settings.
Technical data collected automatically: IP address, device and browser type, pages visited and when, and cookie identifiers. These are used to run and measure the service, not to track you beyond our platforms.
Event and camp data: in-person registration details, and photographs and video we take at public activities, as set out in section 14.
Data about others that you provide: in a consultation request, in a session, or on an application form, you may mention details about a spouse, a child, or a relative. We treat such details with the same protection set out in section 5, and you confirm that you have standing to mention them: that you are a legal guardian, that the person has permitted you, or that mentioning them is necessary to seek help in a matter of your own. Responsibility for mentioning another person's details without proper standing rests with the person who mentions them, not with us.
Why We Use Your Data
To operate your membership and give you access to programmes and study tracks; to process consultation requests, manage sessions, and follow cases; to process and post print-copy requests; to consider applications to volunteer and contribute; to write to you with event dates and news of new programmes; to tailor recommendations to your situation; to develop our content and measure its effect through aggregated statistics that identify no one; to protect our platforms from intrusion and misuse; and to meet any legal obligation that applies.
Our basis for processing is one of four: your explicit consent (the basis for everything relating to consultations and marketing messages), performance of the service you requested, a legitimate interest that does not affect your rights (such as platform security and aggregated statistics), or a legal obligation.
Anything concerning your psychological, family, or health situation is data of a special nature, which we process only with the separate explicit consent you give when submitting a consultation request, and which you may withdraw at any time under section 10. We do not require you to set out the details of your situation on the form: detail belongs in the session, not on a form.
Confidentiality of the Consultation and Support Centre
This section binds us more strictly than any other, and we have set it apart because what is said in session is too weighty to leave among generalities.
Who has access: only the practitioner directly responsible for the case may see the content of a session or a case file. Members of the administrative team and the content, technology, and design teams have no access to this material; it is made available only to the extent of a temporary technical necessity, under documented supervision.
Separation of data: the Consultation Centre's data is held separately from the membership and course databases, so that your educational activity discloses nothing about your consultation requests, or the reverse.
The path of a request: when you submit a consultation request it reaches only the specialist practitioner in the section you chose. If they judge a colleague better suited to your case, the request is passed to them and you are told.
The session link: sessions are held through an approved external video-call provider [provider name]. The session link is generated after the appointment is confirmed, not before, is unique to that session, and expires once it ends.
Recording and note-taking: individual sessions are never recorded, in audio or video, nor are the group Circles of Safety. What is written down are professional notes, to the extent needed to follow the case, held under strict protection.
Group Circles of Safety: what is shared within the groups is governed by a covenant of confidentiality binding on every participant as it is on the practitioner.
Medical referral: some cases require specialist medical treatment beyond the community's scope, and these are referred to the appropriate medical services. Your data is not passed to any external party without your prior consent, and only to the extent that serves your referral.
The limits of confidentiality: we maintain complete confidentiality except in narrow, exceptional circumstances required to protect life: a serious and imminent danger to you or to another, the protection of a minor from ongoing harm, or a binding judicial order. In such cases we disclose the least possible, to the narrowest relevant party, and we inform you, unless informing you would itself increase the danger.
The Centre is not an emergency service and does not operate around the clock. If you or someone you know is in immediate danger, contact your local emergency services at once.
Retention: case files are held for 12 months from the last session, then securely destroyed. You may request the deletion of your file before then, under section 10.
Print Copies and Postage
There is no payment gateway on the site, and we hold no card data. The site receives no payments of any kind; no card number, expiry date, or security code passes through it at any stage.
What actually happens: anyone wanting a print copy of a title completes a short request form giving the title, the number of copies, and a postal address. The team then writes back with the cost and the postage to their country. The request places its sender under no obligation, and whatever payment arrangement follows is made outside the site by direct agreement.
What we keep: the request details, the recipient's name, address, and phone, and the status of the request and its correspondence, for 12 months, after which they are deleted.
Whom we share it with: the carrier, with delivery details alone. Request data is not used for marketing and is not shared further.
Retention Periods
We retain your data for as long as your membership continues, and for 12 months after it lapses. Consultation files are held for the period stated in section 5, and print-copy request records for the period stated in section 6. Unsuccessful contribution and volunteering applications, including any attached CVs, are deleted 12 months after a decision is made. Whatever is no longer needed is deleted or stripped of everything that identifies its subject, becoming a figure in a statistic with no trace of you in it.
Information Security
We protect data through encrypted connections, access restricted on a need-to-know basis, separation of sensitive data from the rest, logging of every access, and a written confidentiality undertaking required of every member of the team, whether volunteer or contracted.
Even so, no system anywhere is entirely secure, and we promise you this much: we will not claim the impossible. Should a breach occur that seriously affects your data, we will inform you of it and of what we have done about it, without delay.
Your Rights
You may request access to what we hold about you; correction of anything mistaken or incomplete; deletion of your data in whole or in part; withdrawal of your consent at any time, without affecting the lawfulness of what was done before; objection to a particular processing or its restriction; a copy of your data in a portable format; and an end to our messages, with a single click at the foot of each one.
Requests go to info@fetracommunity.org, and we respond within 30 days. Deletion may be impossible in a narrow range of cases where accounting records or a legal obligation bind us, and we will say so plainly when we decline, not afterwards.
If our answer does not satisfy you, write to us again setting out your objection, and we will review the request at a higher level. You then have the right to complain to the competent regulatory authority in your country.
Data Concerning Minors
The Youth Accompaniment Programme admits young men and women between 13 and 18, and no admission is accepted without the knowledge and consent of a guardian, who is informed of the programme's details and content. Equally, no consultation request for anyone under 18 is accepted without the knowledge, consent, and details of a legal guardian.
A guardian has the right to see their child's data and to request its deletion. At the same time, what a young person discloses to their practitioner within the support space is treated with the degree of privacy that building trust requires: the family is informed of what serves the young person's educational interest, without this becoming a verbatim account that would empty the space of its meaning. Should we identify a danger to a minor, section 5 applies.
As for children under 13, our services are not directed at them and we do not knowingly collect their data. If we learn that a child's data under this age has reached us without a guardian's consent, we delete it as soon as we become aware.
Cross-Border Transfers
Our members are in fourteen countries, and our servers and service providers may be in a country other than your own, so your data may be transferred and processed outside its borders. In such cases we put in place contractual safeguards ensuring the same level of protection this document sets out.
Photography and Recordings at Events
We may take photographs and video at public events and at the annual camp, to document our work and make it known. In doing so we observe three limits: notice in advance that filming is taking place; a space or an option for anyone who prefers not to appear; and no publication of images of minors without their guardians' consent. Anyone who appears in published material may ask for it to be removed, and we act on that request without asking them to give a reason.
The Fetra AI Assistant
Your conversations with the AI Assistant are stored so that it can follow your plan and continue with you. We may use samples of them, stripped of anything identifying, to improve the quality of its answers.
The Assistant is a tool for guidance and for directing you to the right content and specialist. It is not a substitute for consulting a qualified person, nor for medical treatment, and it is not a channel for help in an emergency. Do not entrust to it what you would not wish to be stored.
External Links and Platforms
Our platforms may direct you to external sites and channels such as YouTube and our social media accounts, each with its own policy that we do not control. We are responsible for what we collect ourselves, not for what those platforms collect about you.
Changes to This Policy
We may update this document as our services develop, and the date of the last update is recorded at its head. Where a change is material and affects your rights or how your data is used, we will inform you by email or by a visible notice on the platform before it takes effect, not after.
This policy is published in Arabic and English, and the Arabic version governs in the event of any difference in interpretation; the English is a translation offered to aid understanding.
